Our client is a government agency within the transport sector that works to facilitate the everyday lives of residents traveling and commuting in Stockholm. We are looking for an experienced and service-oriented administrator who thrives in the role of being the spider in the web. You have many points of contact, both internally and externally, and find it easy to collaborate, build trust, and establish long-term relationships. In this role, you will be a close support to clients, project managers, and project members, actively contributing to streamlining work by following established methods and structures.

You are responsible, structured, and solution-oriented, with good prioritization skills and accustomed to handling many parallel tasks in a fast-paced environment.

Job Responsibilities

In the role of administrator, you will primarily work with: Providing administrative support to project managers and project members as well as supporting project processes

  • Assisting in the administration of consultants via consulting brokers

  • Being responsible for the project office in Sickla, which includes material purchases, access cards, keys, office organization, and contact with suppliers

  • Managing document and case handling, including record-keeping, archiving, and structuring in systems such as Avima, EDIT, and Teams according to the current document management plan

  • Handling meeting administration such as invitations, agendas, minutes, and notes with high quality regarding language and format

  • Being responsible for the program's contract log

  • Managing supplier invoices in the financial management system

  • Administering IT orders, licenses, permissions, distribution lists, and group mailboxes

  • Conducting onboarding and offboarding of project members, including orders and permissions

  • Assisting with travel bookings and related administrative processes

  • Managing mail and signing matters, both internally and externally, ensuring that documents reach the right recipient on time

Requirements for the position:

  • At least a high school diploma

  • Four to six years of work experience as a program or project administrator

  • Four to six years of experience with the Microsoft Office suite and good general computer skills

  • At least four years of work experience in financial systems and/or accounts payable

Meritorious for the position:

  • Experience from at least three assignments as an administrator within public operations

  • At least one year of experience in document coordination and working in document management systems within projects or programs in public administration (please specify at least one reference project)

  • At least four years of experience in handling supplier invoices

  • At least three years of experience in the role of office manager

The assignment currently allows for both remote work and on-site work, primarily at the project office in Sickla and also at the office in Kungsholmen in Stockholm. Distribution of days and times will be based on the needs of the business and with the approval of the client.

Assignment Period
  • Start: 2026-02-23

  • End: 2027-02-15

  • Application deadline: 10/2-2026

  • Extension: Possibility for extension of 1 + 1 + 1 year

Before the assignment can begin, a security clearance will be conducted.
